A good role handoff captures recurring responsibilities, decision rules, exceptions, and where work stands. Recordings can help reconstruct those details, but the outgoing owner needs to confirm what the evidence does not show.

Start here

Choose one responsibility and an approved example. Agree with the participant on capture and sharing boundaries. Identify the receiving owner and access they will need.

Copy this prompt

Use this in Screenpipe chat or an assistant with the required connections. Replace the brackets with your details. If the assistant lacks access, provide a reviewed excerpt; a prompt alone does not connect it to your history.

Check the result

Have the receiving teammate perform the exercise and explain an exception. Fill gaps where they need the outgoing owner to guess for them. Verify access through your normal IT process.
Prioritize work that is frequent, business-critical, or known by only one person. A handoff of ten unreviewed recordings is usually harder to use than a small guide with selected evidence.Remove access through the organization’s normal departure process. A handoff document is not an access-control system and does not prove that data copies or credentials were revoked.
