# Share useful team knowledge from recorded work

> Share a reviewed answer or process note with its intended audience, rather than assuming everyone should access the underlying workday.

Share a reviewed answer or process note with its intended audience, rather than assuming everyone should access the underlying workday. A shared summary and permission to open its source recordings are separate decisions.

## Start here

Choose one question teammates repeatedly ask. Identify a reviewer, approved source period, destination, and who should be able to read the result.

## Copy this prompt

Use this in Screenpipe chat or an assistant with the required connections. Replace the brackets with your details. If the assistant lacks access, provide a reviewed excerpt; a prompt alone does not connect it to your history.

```text theme={null}
Draft a team knowledge note answering [question] from [approved sources].
Include the answer, when it applies, exceptions, owner, reviewed date, and
source references. Replace customer values with fictional examples.
Flag sensitive or unrelated context for removal. State which references
require access the intended audience may not have.
Return a draft and a sharing checklist. Do not publish it.
```

## Check the result

Test the note with a teammate who did not attend the original discussion. Confirm they can understand the rule and open only the sources they are authorized to access.

    Screenpipe settings sharing, recorded-data sync, and a document in your team knowledge base serve different purposes. Check the exact sharing mechanism before assuming it gives teammates access to recordings or enforces your document permissions.

    Keep source references in an internal appendix when the published note has a wider audience. Update the note when the rule changes and preserve the owner and review date so an AI can distinguish current guidance from historical context.
